Major Duties and Responsibilities:

 

Under the direct supervision of the Senior Logistics Assistant and the overall supervision of the Logistics Officer at the Area Office/Sub-Office, the incumbent will be responsible for the following duties:

 

Receive all the WFP food and non-food commodities;

Report on the quality, quantity of the received commodities and ensure that quantities dispatched match with quantities received and endorse documents;

Maintain clean and pest-free storing conditions;

Ensure good warehousing practices;

Supervise the off loading and stacking of the commodities, follow up tracking of the commodities in pipeline and report the same to the appropriate personnel;

Maintain records and/or ensure that assistants assigned to the various stores keep records of the food stuff offloaded/loaded at the warehouses, adhering to the WFP systems;

Control incoming goods both food and non-food commodities by such methods as physical counts, random weight checks, rejection of any spoiled commodity, reconditioning of underweight bags, etc;

Sign waybills of received and dispatched cargo;

Deliver goods on request against official and approved documentation;

Keep updated records on stack cards, and/or computer inventory lists;

Make periodic physical inventory checks;

Liaise with field monitors and others on matters pertaining to logistics;

Report on and, in consultation with others, take appropriate action for the disposal of spoilt commodities;

Provide overall supervision and training of other storekeepers and casual labour;

Minimum Qualifications:

 

Education:

Secondary school education.

 

Experience:

At least three years of progressively responsible support experience including at least one year in the field of transport, administration, accounting, statistics or another related field. At least one year at G3 level or equivalent.

 

Language:

Fluency in both oral and written communication in English and Somali language is a requirement.

 

Knowledge:

Extract and input data from various sources in the human resource database;

Respond to human resources queries from staff in the unit and elsewhere in the Programme;

Check and maintain attendance registers, leave reports, DSA forms and other forms and reports;

Check and maintain personnel files for all staff at location, ensuring all documentation is complete; maintain and update confidential personnel information and documents, and ensure relevant documents are kept in their respective files;

Search for, retrieve, compile, assemble and archive a variety of human resources statistical data from computer files, records, reports or from other sources for external use;

Collect and maintain information on commercial, private and inter agency training schedules and institutions;

Maintain records on programme activities, from formulation stage through completion and ensure project cycle deadlines are met;

Analyze contract terms and conditions, and correct any observed discrepancies between contract rates and invoice amounts;

Carry out advocacy and information related tasks for project/programme activities;

Prepare status and progress reports by providing information and background material for use in discussions and briefing sessions;

Provide guidance, on-the-job training and assistance to support staff;

Evaluate, develop, and recommend procedures. Participate in discussions on new/revised procedures and practices; interpret and assess the impact of changes and make recommendations on follow up actions;

Perform other related duties as required.

 

Minimum Qualifications:

 

Education:           Secondary school education, supplemented with experience or additional education in nutrition, education,

human resources, public administration, development economics or other related field.

Experience:        At least five years of progressive responsible experience of which at least one year was closely related to programme functions. At least one year at the G5 level or equivalent.

Secondary school education, preferably supplemented by technical or university courses in a field related to WFP logistics/transport activities.

 

Experience:

At least five years of practical commercial/professional experience in one or more of the transportation and ancillary sectors: port operations, shipping, clearing and forwarding, air operations, large scale road/rail transport and distribution management. At least one year at G5 level or equivalent.

 

Language:

Fluency in both oral and written communication in English and Somali.

 

Knowledge:

Experience utilising computers, including word processing, spreadsheet and other software packages. Knowledge of WFP administrative regulations and rules, and WFP policies and procedures in the area of work.

Organizational background

 

The World Food Programme Somalia activities include food assistance for nutrition, livelihoods, relief and school feeding, while also supporting humanitarian air and logistics services, food security coordination and infrastructure rehabilitation projects.

 

These positions are open to qualified Somali candidates with good knowledge of the local area for roster purposes. Female candidates in particular, are encouraged to apply.

 

Major Duties and Responsibilities:

 

Under the direct supervision of the Head of Area Office/Sub-Office, the incumbent will be responsible for the following duties:-

Receive, screen and log correspondence, reports and follow up to ensure that action is taken;

Screen, assess and refer telephone calls/enquires to appropriate staff, and provide information as appropriate;

Coordinate and expedite office wide responses to sensitive telephone and written enquires on behalf of the manager;

Maintain the manager’s calendar and schedule, and brief the manager on matters to be considered prior to scheduled meetings;

Maintain and update the office’s filing and reference system;

Identify and extract information from various sources, draft and review briefing notes and standard correspondence;

Provide procedural advice to staff on office methods and procedures, use of various computer programmes and office equipment;

Maintain attendance and leave records of staff in the office;

Perform other related duties as required.

 

Minimum Qualifications:

 

Education:

Secondary school education.

 

Experience:

At least three years of experience in secretarial or general administrative work. At least one year at G3 level or equivalent.

 

Language:

Fluency in both written and spoken English is a requirement.

 

Knowledge:

Ability to effectively use word processing, spreadsheets and other standard office technology equipment. Thorough knowledge of modern office procedures and methods. Good knowledge of information management principles. General knowledge of UN system administrative policies, rules, regulations and procedures in the area of administration.
