READVERT -Emergency Logistics Assistant – Burao
|TEAM/PROGRAMME: Support team, Somaliland||LOCATION: Burao|
|GRADE: 6||POST TYPE: National|
Level 3 – the responsibilities of the post may require the post holder to have regular contact with or access to children or young people
Under the direct guidance of Logistics Officer the logistic assistant will be responsible for Managing procurement, transport and warehouses
SCOPE OF ROLE:
Reports to: Logistics Officer – Burao
Dimensions: Save the Children works in 4 regions in Somalia with a current staff complement of approximately 450 staff and current expenditure of approximately GBP 30 million each year.
Staff directly reporting to this post: Drivers
Internal: All staff of SC in Somaliland and other field offices
External: Suppliers, Service providers, Government authorities.
KEY AREAS OF ACCOUNTABILITY:
Receive all incoming medical supplies; inspect and verify for conformity to order specifications and delivery notes Act as custodian and controller for all the medical items in Save the Children warehouse(s) in Burao.
Identification of medical supplies on receipt and dispatch
Record all goods received are recorded in standard Save the Children templates [GRN] goods received note
Ensure appropriate packing and loading of medical supplies for dispatch and supervise material loading and unloading Assign storage locations for all goods received and ensure that they are handled as per Save the Children procedures of safety, security, accountability and transparency
Record all goods dispatched by Save the Children in the standard templates.
Ensure that all store transaction paper works are kept files as per SC filing system
Issue/distribute materials, products, parts and supplies to field staff, based on Save the Children standard requisition procedures
Ensure the proper labelling and storage of drugs and supplies in the warehouse and make sure that drugs are used before their expiry dates
Conduct monthly and quarterly stock physical counts.
Follow up with staff to ensure that goods do not stay for long periods in the stores, and recommend disposal of excess, expired, defective or obsolete stock
Assist routine transport management, ensure that fleet is managed in line with SC fleet management guidelines.
Receive transport needs from various program Officers and make transport plans accordingly and present to Logistic Officer for review and approval.
Assist monthly reports to Logistics Officer, records of vehicles logbooks for all journeys undertaken, fuel consumption, repair costs and ensure a logbook is available in all cars for inspection;
Assist planning regular repair and maintenance of vehicles
Supervise the work of drivers and ensure that all drivers adhere to SC policy and procedures for vehicle service and maintenance schedule;
Supervise the Drivers and ensure that transport are managed in line with SC policy
- Assist the Logisitcs Officer in ensuring that purchase requests received are processed on time and in compliance with procurement guidelines.
With support of Logisitics Officer assist in receiving purchase requests and coordinate with the requesting department on specifications, quality and delivery time, as necessary.
Assist preparation of RFQs, LPOs and GRNs.
Assist payment processing for the delivered goods/services.
Assist follow up of pending payments and forward supporting documents required for payment release to finance department.
Assist follow up of the procurement plan
Assist in filing, recording and updating day to day procurement records.
Assist his/her line manager in following up matters related to procurements with the suppliers and reporting if any discrepancy is observed.
Assist in updating the order tracking information and ensure that information is readily available upon request.
- Assist with supporting other logistics functions as may be delegated from time to time feedback/updates.
Support the Logistics Officer in coordinating with local freight forwarders as and when need arises.
Ensure that all paper work is kept according to the policies and procedures of the organisation and filed neatly with supporting documents in respective files.
Undertake any other reasonable duties requested by the line manager, where those do not go against the policy of the organisation.
Assist in developing price lists for commonly purchased items. Assist in updating supplier databases/lists.
Be aware of Save the Children’s key Policies and Procedures, including Child Protection, acting in a manner consistent with their requirements and specific responsibilities of the post
Undertake any training required to meet the objectives of the post
Undertake any other duties of an equivalent nature as determined by Management following consultation with the post holder.

QUALIFICATIONS AND EXPERIENCE
- Bachelor degree in logistics and procurement or Business administration, Dimploma on Medical Health
- Previous experience of managing a similar work.
- Minimum 3 years proven work experience in Logistics within a busy working environment such as a private company or INGOs
- Good English language command.
- Good computer and writing skills.
- Good communication and interpersonal skills.
- High level of integrity and ability to work as part of a professional team
- Ability to work under pressure to meet tight deadlines
