Job Description

JOB TITLE: Area Logistics & Supply Chain Coordinator
TEAM/PROGRAMME: Support, Logistics LOCATION:  Mogadishu 60% Baidoa 40%
GRADE:  3                          TYPE OF CONTRACT:  National

Level 3:  the role holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work in country programs; or are visiting country programs; ore because they are responsible for implementing the police checking/vetting process staff.


Under the direction of the Logistics & Supply Chain Manager, provide operational logistics support to the programs and logistics staff in SS (Mogadishu, Beletweine, Adado, Abudwak, Kismaio, Dhobley and Baidoa).  As an integral staff member of the Save the Children, the Area Logistics & Supply Chain coordinator will provide support to the programme by undertaking technical and practical operational tasks to ensure smooth, safe and efficient operation of logistical activities.


Reports to: Logistics & Supply Chain Manager

Dimensions: Save the Children works in 4 regions in Somalia/Land with a current staff complement of approximately 350 staff.

Staff directly reporting to this post: One  procurement officer


Fleet Management

  • Ensure that the allocation of vehicles and drivers is done in an effective manner, in response to authorised transport requisitions and support requirements of the programme.
  • Ensure an appropriate monthly vehicle history chart is developed.
  • In collaboration with the Supplychain officers/ assistants ensure that all vehicles receive scheduled preventative maintenance and faults are rectified efficiently and that all vehicles, including communications equipment, are maintained in a safe and operational condition at all times.
  • Support Mogadishu, Beletweine, Adado, Abudwak, Kismaio, Dhobley and Baidoa offices on issues related to the maintenance and operation of fleet. Arrange necessary support in consultation with the supply chain manager.
  • Ensure timely fleet reports are shared on monthly basis.
  • Proactively do market surveys on vehicle rental costs for decision making.


  • Ensure overall provision and adherence of Save the Children’s minimum standards of procurement policies procedures and oversee the implementation of the log activities.
  • Ensure that all procurements at SS offices are conducted in an efficient and transparent manner, in line with procurement policy & scheme of delegation of Sci
  • Provide guidance and support to the programme teams in SS offices in submitting     procurement plans and dealing with other issues in procurement.
  • Support the Logistics & Supply Chain Manger to provide technical inputs on all contracts procurements to be done in the field offices.
  • Make sure that the Area (SS) procurement plans are consolidated and available for implementation.
  • Responsible for supplier mapping and quarterly market price update of all SS offices.
  • Responsible for contract management of all SS area and field offices.
  • Ensure timely finalization of field office procurements to the area office and do follow up on the bid opening and payment processing.
  • Support in the prequalification and FWA process in CSS with the supply chain manager.
  • Supports in the market price survey to ensure market dynamics are met.
  • Follow up with logistics/ procurement officer on timely collections of all invoices for Mogadishu office

Asset Management

  • Ensure that the records of Assets and Equipment for Mogadishu, Beletweine, Adado, Abudwak, Kismaio, Dhobley offices are maintained and in line with the Assets management policy.
  • Coordinate with the store keeper and procurement officer to ensure that all the changes to the assets & equipment’s locations, conditions are reflected timely and correctly in the Asset Register.
  • Ensure that the assets that are issued to staff are authorised, recorded and necessary paper work exists as per the policy of Save the Children.
  • Identify assets in bad condition and advise on the regulations

Inventories and Stock Management

  • Ensure that all procured materials are properly stored and recorded with the help of the store keepers.
  • Ensure that GIK items are received, recorded and properly stored by using TIM inventory Management system.
  • Ensure that the movement of inventories to or from the warehouses are accurately documented; authorised and necessary paper work is done as per procedure.
  • Alert the relevant programme manager the receipts and dispatches in order to prepare necessary distribution plans.
  • Ensure that all monthly inventory reports are produced on time and shared with the concerned departments
  • Monitor stock distribution reports, track supplies and SOF expiry and ensure the stock management is in line with SCI policies and procedures.

Radio Communications

  • Ensure that all HF and VHF radios are fully functional at all times.
  • With the help of the logistic officers/assistants arrange for regular servicing and maintenance of the radio equipment.

Custom clearance and transporting goods

  • Obtain custom clearance for all goods to the field offices from the relevant government agencies.
  • Ensure that the transportation of goods and equipment between field offices are arranged and certify that the goods are securely packaged and loaded to prevent damage during shipping.
  • Ensure that accurate documentation takes place in relation to the movement of items between locations and notify concerned people for collection purpose.
  • Manage program distributions plans as per program requests.

Filling and Reporting

  • Implement in each office standard Save the Children logistic procedures systems and train other log staff for creating and using the filing system.
  • Ensure that Area monthly logistics reports are produced and disseminated on time.
  • Ensure that all paper work is kept according to the policies and procedures of the organisation and filed neatly with supporting documents in respective files.
  • Undertake any other reasonable duties requested by the supply chain manager.

  • Bachelor degree in Business management, supply chain diploma/ CIPs certification
  • Progressive 3-5 years of experience in handling logistics in an INGO/ UN with at least 2 years managerial skills.
  • Fluency in written and spoken English.
  • Must have strong reporting and communication skills and excellent computer skills in MS Word & Excel.
  • Experience in fleet management including vehicles maintenance, servicing & repairs
  • Knowledge & experience of dealing with service providers and contractors.
  • Ability to work under pressure to deadlines.
  • Ability to work independently on his or her own initiative
