Finance and Operations Lead – Hargeisa, Somaliland

The Network includes three world-class educational institutions that provide high-potential students with critical access, support, and leadership development: Abaarso School of Science and Technology, Barwaaqo University, and Kaabe Schools.

Job Purpose

The Finance and Operations Lead is responsible for managing the financial and operations needs of the Kaabe Schools across all physical sites. This includes but is not limited to Zaad account operation, bookkeeping, financial reporting, procurement and maintenance, transportation & logistics, and operational reporting. 

Job duties and Responsibilities

Finance Duties

  • Protecting the financial health of the Kaabe Schools
  • Setting up and overseeing bookkeeping Google Sheets for all cashier accounts (tuition and expense)
  • Be responsible for training and managing Office Admins to properly record expenses and tuition collection in Google Sheets
  • Be responsible for managing Office Admins to properly upload receipts for expenses into Google Drive folder
  • Making distributions from the merchant account to cashier expense accounts at each school site
  • Sending “Kaabe Headquarters” associated expenses that may include monthly facilities rent, car payments, and administrative items like visa costs
  • Tracking monthly tuition goals vs actual for each Kaabe Schools site
  • Monitoring the balances of all Kaabe Schools zaad accounts
  • Requesting transfers if expense account funds are too low
  • Generating weekly update reports, summarizing monthly tuition collection status at each site 
  • Generating monthly budget vs actual expense reports 
  • Generating monthly Zaad statements from each cashier and merchant account
  • Submitting financial statements to CFO as requested
  • Systematizing and streamlining financial operations with scale and growth in min
  • Create and maintain QuickBooks company data
  • Understand the account and company setup steps and maintain a general knowledge of the major areas of the QuickBooks application and accounting
  • Export weekly and monthly backups of the QuickBooks company data
  • Be responsible for accounting functions such as Tuition fees, A/R reconciliations. 
  • Reconciling daily and monthly  transactions and financial reports with Quickbooks.
  • Bookkeeping and ensure that expense descriptions and categories are properly entered into Qbo
  • Reconciliation of general ledger
  • Recording and reporting monthly expenditure of all schools against the approved budgets
  • Reconcile bank balances with Quickbooks and manage the differences
  • Create and maintain budget vs. variance reports of all Kaabe Schools

Operations Duties

  • Bearing ultimate responsibility for the procurement and operations of all Kaabe School sites and facilities
  • Overseeing the Procurement/Maintenance Officer to fulfil regular procurement, maintenance, and facilities improvements on Kaabe Schools sites and facilities 
  • Arranging transportation and logistics for Kaabe Schools team members for both regularly occurring needs and special work occasions 
  • Fulfilling special procurement requests from Kaabe Site Leads including purchases and/or the movement of existing assets between sites
  • Tracking operations systems at each Kaabe Schools site including utility usage, food, and office/school supplies and consumables 
  • Generating monthly efficiency reports for operations
  • Scheduling proactive maintenance for Kaabe Schools facilities 
  • Scheduling proactive maintenance for Kaabe Schools vehicles 
  • Overseeing electronics assets and repair 

The successful candidate will

  • Be educated to Bachelor Degree level
  • Be experienced in Somaliland, E. Africa, or a similar operating environment
  • Be experienced setting up and maintaining financial systems for an organization
  • Be experienced setting up and maintaining operational systems for an organization
  • Be experienced generating financial and/or operational reports
  • Have an understanding of East Africa context, particularly education sector and fragile settings 
  • Have excellent written and verbal communication skills in English
  • Have the ability to communicate professionally via email and other mediums
  • Have excellent Google Sheets/Microsoft Excel ability
  • Be fluently spoken and written English
