VACANCY ANNOUNCEMENT

Office Secretary 

Dalco Mators a Member of Daldhis Group of companies based in Somaliland looking for an experienced and Motivated Office secretary to provide effective & efficient administration services and provide support and welcome to the visitors, staffs in accordance with Dalco Motor’s policies.

The candidate should have proven experience in of managing a similar personal administrative work, with an excellent knowledge of the Business administration field of study. Addition to enough knowledge of the Somalia and English languages (Verbal and writings), also demonstrate strong ability of team work and working under pressure

  • Number of Positions: One
  • Report to: TBA
  • Duty Station: Hargaisa- Somaliland.
  • Salary: as per Company salary Policy
  • Starting date: ASAP

Responsibilities and Duties

As Secretary, required to perform the following duties and undertake the following responsibilities in a professional manner

The position may require additional duties/responsibilities that may not be outlined below, and specific functions are subject to change;

  • Maintain comprehensive procurement files, including solicitations, proposals, evaluations, award documents, official contracts and correspondence on all procurements, following policies and local law;
  • Process procurements according to respective rules and regulations;
  • Verify deliveries are complete and done in a timely manner;
  • Ensure prompt update of the procurement files into the procurement database;
  • Respond to procurement/logistics requests related to supplies, materials for project activities;
  • Handle all email, mail and phone general inquiries and requests for information and materials;
  • Assist with ordering supplies and copy room inventory, if needed;
  • Maintaining customer calls and welcoming
  • Assist with trip expense reports, photocopying, ordering books and materials as needed;
  • Assist staff with mailing projects and provide support assistance;
  • Maintaining company schedules, files and Documenting financial information
  • Managing and ordering office supplies, Scheduling meetings and conferences, and
  • Perform other duties, as assigned

Personal Qualifications:

  1. Minimum Credential Institution/University Diploma of Office management related studies or Business administration.
  2. Minimum one-year proven work experience in administration and personal management within a busy working environment such as private company or INGOs.
  3. Excellent In Computer Applications and Emailing
  4. Good In customer care skills
  5. Excellent both Somali and English Languages
  6. Highly Innovative and Creative character
